Business Central lets you adjust the layout of most pages to match the way you work. You can hide fields you never use, add fields that are normally hidden, reorder columns in a list, and freeze columns so they stay visible when scrolling. These changes are saved to your user account and do not affect other users.
This is called personalization. It is different from page customization, which is an admin-level feature that changes page layouts for all users on a specific profile.
Enter Personalization Mode
- Select the Settings gear icon in the top-right corner of Business Central.
- Choose Personalize.
A banner appears at the top of the page indicating that personalization mode is active. Fields and columns show resize handles, and a Personalization panel appears on the right side.
Move Fields on a Card Page
In personalization mode, fields on a card page (such as a Customer Card or Item Card) can be dragged to a new position.
- Hover over the field you want to move. It highlights with a border.
- Click and drag it to the desired position.
- Release to drop it in place.
Not all fields can be moved freely, some are locked by the page layout. If a field cannot be moved, it will not respond to dragging.
Hide Fields You Do Not Need
- In personalization mode, hover over the field you want to hide.
- Select the arrow or action indicator that appears.
- Choose Hide.
Hidden fields are removed from view but remain in the database. Data in hidden fields is not deleted, you just will not see it on the page. You can always restore hidden fields later.
Add Fields from the Hidden Fields Panel
Fields that are available but not currently shown on the page can be added through the panel.
- In personalization mode, select + Field from the personalization panel on the right.
- A list of available fields slides out, showing fields that are hidden or available on the current page.
- Drag a field from this list onto the page and drop it in the desired position.
Some fields are greyed out and cannot be added. This typically means they require a specific configuration or license to be visible.
Personalize List Columns
On list pages (such as the Sales Orders or Items list), you can control which columns appear, their order, and their width.
Add or Remove Columns
- In personalization mode on a list page, select the column header area.
- Use the + Field action to open the column picker.
- Drag fields onto the column header row to add them.
- To remove a column, hover over its header and choose Hide.
Reorder Columns
In personalization mode, drag column headers left or right to reorder them.
Resize Columns
Drag the edge of a column header to resize it. Column widths are saved as part of personalization.
Freeze Columns
Freezing a column keeps it fixed on the left side of the list when you scroll horizontally. This is useful on wide lists where you want to keep a key field (like a number or name) visible at all times.
- In personalization mode, hover over the column header you want to freeze to.
- Select Freeze Pane from the column action menu.
All columns to the left of (and including) the frozen column will stay in place when scrolling. To remove the freeze, hover over the same column and select Unfreeze Pane, or select the vertical line that marks the freeze boundary and remove it.
Clear Personalization
To restore a page to its original layout and remove all your personalization changes:
- Enter personalization mode on the page.
- Select Clear Personalization from the personalization panel or action bar.
- Choose what to clear:
- Clear personalization for this page only, removes changes on the current page
- Clear all personalization, removes all your personalizations across all pages
Clearing personalization does not affect other users.
Personalization vs. Profile Customization
| Feature | Who it applies to | Who controls it |
|---|---|---|
| Personalization | The individual user only | The user themselves |
| Profile customization | All users on a profile | An administrator |
If an administrator has customized a page at the profile level, your personalization is applied on top of that customization. Clearing your personalization restores the profile-level layout, not the original system default.
Administrators customize profiles from the Profiles (Roles) page using the Customize Pages action. See How to Use Profiles and Role Centers in Business Central for more on that workflow.
